Terms and Conditions

Terms and Conditions

Welcome to Komodo Luxury, operated by PT Komodo Bahari Nusantara. Every guest signs the trip document digitally before payment — so you always know exactly what you get. The complete terms for all three trip types are below.

Last updated: 18 August 2026

How Your Trip Document Works

A clear agreement is part of five-star service. These Terms & Conditions reproduce the material provisions of the official trip documents for our three trip types — Private Trip, Open / Share Trip, and Full-Day Speedboat — so you can review everything transparently before booking.

How signing the trip document works: before any booking is processed, our reservation team shares the reservation form and the official Terms & Conditions document for your trip through our official WhatsApp line. You review the terms at your own pace, ask any questions, then sign the T&C — a digital signature is accepted, and for group bookings one designated representative may sign on behalf of the group, provided every participant has read and understood the terms — and return it with the completed form in the same conversation. Your invoice and payment details are issued only after the signed T&C is received; once your payment is received and verified, the invoice serves as your booking confirmation. By signing — or by registering for a trip — you confirm that you have read, understood, and agree to be bound by the terms below.

Your Signature — An Example

Professional charter operations put the agreement before the invoice. Every Komodo Luxury guest receives the trip document, reviews it, and signs digitally before payment details are ever issued — so you always know exactly what you are getting, in writing, with your name on it. This is what the closing of your signed trip document looks like:

The guest acknowledges and agrees to all the terms and conditions outlined in this document. This acceptance confirms that the guest has read, understood, and willingly agrees to be bound by these terms.

The example above is illustrative; your own document is signed digitally through our official WhatsApp conversation and kept on record for both parties.

Important Notes for Private Trip Guests

  1. Flight arrangements. Some airlines may not consistently offer direct flights to Labuan Bajo. Passengers are advised to confirm the availability of direct flights through the respective airline's official application or information center. Direct and connecting routes operate from Jakarta (CGK), Surabaya (SUB), and Bali (DPS); our team can share current airline and Labuan Bajo hotel guidance on request.
  2. Arrival recommendations. It is strongly recommended to arrive in Labuan Bajo at least one day before the trip to ensure a smooth itinerary and avoid disruptions caused by potential flight delays or cancellations. Participants may also arrive on the day of the trip, provided they are in Labuan Bajo and ready by 9:00 a.m. local time (WITA / GMT+8). KomodoLuxury is not responsible for any flight cancellations or delays.
  3. On-trip issues. Guests must immediately report any issues or concerns during the trip to the on-duty crew members or the Tour Guide. Prompt reporting ensures the opportunity to resolve the matter during the journey. Delayed or post-trip complaints cannot be addressed after the trip concludes.
  4. High-season crowds. During the high season, popular destinations such as Manta Point, Padar Island, Pink Beach, and Komodo Island may experience high visitor traffic. KomodoLuxury is not responsible for complaints related to crowded conditions at these locations.
  5. Complaint policy. Any concerns regarding service shortfalls during the trip must be reported to the Tour Leader or Cruise Director onboard immediately; the Cruise Director will work to provide an appropriate solution. Complaints lodged after the trip will not be accepted by KomodoLuxury.

  2. Registration form. Complete the registration form (one per person) with all required details: Name, Email, Total Passengers, Name of Boat, Date of Travel, Type of Trip (Leisure / Diving / Combination), Destination: Labuan Bajo.
  3. Down payment requirement. A booking can only be made with a down payment.
  4. Payment process. (a) A 50% deposit is required to secure the trip. (b) The deposit is non-refundable in the event of participant cancellation at any time. (c) The remaining payment must be made no later than 30 days before the trip. (d) Full payment must be made if the trip is less than 30 days away.
  5. Payment confirmation. Confirm your payment through WhatsApp at +62 811-9941-919 / +62 811-2891-1991 (KomodoLuxury), as stated in the Private Trip document, by sending the payment receipt.
  6. Documentation consent. KomodoLuxury provides documentation during the trip. Each participant agrees to be recorded and photographed, and KomodoLuxury reserves the right to use the footage for promotional purposes.
  7. Agreement to terms. By registering, participants agree to the terms and conditions of the trip.

Payment & Billing Policy — Private Trip

  1. Pricing terms. Rates apply to the year in which they are issued and are subject to change annually. Price adjustments may occur due to factors such as fuel costs, additional routes or activities, government regulations, or other conditions beyond the control of KomodoLuxury.
  2. Booking and payment schedule. A 50% down payment is required to secure a booking. Full payment must be made no later than 30 days prior to the departure date. For bookings made one year in advance, a 30% deposit is required to confirm the charter; an additional 20% of the deposit must be paid 120 days before the trip, with the remaining balance (full payment) due 30 days before departure. The terms and conditions of the respective vessel will apply to certain vessels.
  3. Child policy. Children aged 3 years and above will be charged the full rate.
  4. Bank charges. All bank charges related to payments must be borne by the sender. The total payment amount received must exactly match the amount specified on the invoice; any discrepancies due to bank charges or transfer fees are the responsibility of the client. Neither KomodoLuxury nor the tour operator will be held accountable for additional bank charges incurred during transfers, deposits, or balance payments.

Cancellation Policy — Private Trip

  1. General cancellation terms. For cancellations made 30 days, less or more, before the departure date, 100% of the total payment will be forfeited and is non-refundable.
  2. Cancellation fee conditions. After registration, the deposit is forfeited and non-refundable. If a participant cancels, payments cannot be refunded, rescheduled, or transferred to another trip; however, participants may nominate a replacement person to take their place.
  3. Force majeure. In cases of force majeure — such as natural disasters, adverse weather conditions, civil unrest, disease outbreaks, government regulations, flight cancellation, or other uncontrollable events — the trip may be changed or canceled without a refund. KomodoLuxury is not responsible for any losses or inconveniences caused by such events. Force majeure refers to unforeseen circumstances beyond human control that prevent the trip from proceeding as planned.
  4. Late arrival. Any delays impacting the itinerary or schedule will result in adjustments to the itinerary based on the available time. The vessel cannot be held responsible for, or accommodate, extensions to the allocated trip duration.

Responsibility, Liability & Conduct — Private Trip

  1. Liability. KomodoLuxury is not responsible for and cannot be held liable for changes or cancellations caused by: (i) tight travel schedules; (ii) damage, loss, or delays of baggage by airlines, hotels, or other transportation providers. KomodoLuxury is also not liable for: (i) damage or loss of participants' personal belongings during the trip; (ii) changes or reductions in the itinerary due to force majeure (uncontrollable events such as natural disasters, adverse weather, or government restrictions).
  2. Participant responsibility. Participants are responsible for any loss of or damage to trip facilities, such as life jackets, snorkels, and masks; damaged or lost items will be charged at their full replacement value. All participants are required to follow the tour leader's instructions throughout the trip. Unilateral decisions or actions that deviate from the agreed itinerary or instructions are not permitted without prior approval from boat management.
  3. Prohibited behavior. The use of illegal drugs, or any actions causing disturbances or inconvenience to other participants during the trip, will result in the immediate removal of the individual from the group. In such cases, no refunds will be provided for any payments made.

Full-Day Speedboat — Terms

Transparency note: the official Full-Day Speedboat trip document is issued on the same terms as the Share Trip Komodo Island Terms & Conditions. Rather than restate identical clauses under a different heading, we say so plainly: every clause of the Open / Share Trip section above applies in full to Full-Day Speedboat day-trip bookings.

What This Means for Your Speedboat Day Trip

  • Inclusions: stay on the boat during the trip; premium photo and video documentation using drone, GoPro, and mirrorless cameras (raw footage only); meals during the trip; mineral water, coffee, and tea; guide; snorkeling gear; life vest; and pick-up/drop-off exclusively within the Labuan Bajo mainland area near the harbor (accommodation on other islands or in the Manjaga area is not covered).
  • Exclusions: crew gratuities, flight tickets, alcoholic and non-alcoholic drinks, personal snacks, the Komodo National Park fee (subject to prevailing government regulations), and the optional drone ticket (permit requested at least 7 days before the trip).
  • Payments: 50% non-refundable deposit to secure the trip; balance due 30 days before departure; full payment if departure is less than 30 days away; children aged 3 and above pay the full rate; bank charges are borne by the sender.
  • Cancellation: cancellations at any time forfeit 100% of the total payment (non-refundable); a replacement person may be nominated; force majeure may change or cancel the trip without refund.
  • Group size: the minimum of 10 participants and the alternative-vessel guarantee (no scheduled trip is canceled) apply as set out in the share-trip terms.
  • Conduct and liability: the Responsibility, Liability & Conduct clauses of the share-trip terms — including equipment replacement charges, following the tour leader's instructions, and the prohibited-behavior rule — apply unchanged.
  • Payment confirmation: via WhatsApp at +62 811-3823-875 (KomodoLuxury) by sending the payment receipt.

Please read the full Open / Share Trip Terms & Conditions before signing your speedboat trip document; that section is the complete and binding text for this product.

General Terms — All Trips

Operating Entity

Komodo Luxury (komodoluxury.com) is operated by PT Komodo Bahari Nusantara, an Indonesian company serving Komodo National Park guests since 2015 and part of Juara Holding Group. Every official trip document — reservation form, Terms & Conditions, and invoice — is issued by the KomodoLuxury reservation team through our official WhatsApp line.

Acceptance & Signature

Each trip document closes with an acknowledgment: the guest confirms that they have read, understood, and willingly agree to be bound by all the terms and conditions outlined in the document. In practice, the T&C document is shared through WhatsApp and signed before your booking proceeds — a digital signature is accepted, and for group bookings one designated representative may sign on behalf of the group, provided every participant has read and fully understands the terms. The signed T&C is required before the invoice and payment details are issued, and registering for a trip likewise constitutes agreement to its terms. Your signed trip document is your binding agreement with PT Komodo Bahari Nusantara; we recommend keeping a copy for your records.

Currency, Invoices & Reservation Desk Policy

  • Currency & invoices. Published rates are typically quoted in USD; your official invoice states the exact amount and currency payable. Bank charges are borne by the sender, and the amount received must exactly match the invoice.
  • Cabin / booking hold. The reservation team can hold a cabin or booking for 2×24 hours while you finalize your decision; the hold may be released if the down payment is not received within that window.
  • Reschedules. Where a change of date is agreed with KomodoLuxury (for example following a company-side change), the new arrangement is only valid once documented in an official invoice issued by the reservation team. Participant-initiated cancellations remain subject to each product's cancellation clause: payments cannot be refunded, rescheduled, or transferred.
  • Refund documentation. Any refund that KomodoLuxury approves is processed and documented through a formal Refund Letter; no refund is valid without one.

Weather, Safety & Itinerary Adjustments

Adverse weather conditions fall under the force majeure clauses of every trip document: the itinerary may be changed, reduced, or the trip canceled without refund when conditions make the planned program unsafe or impossible. On board, all participants must follow the instructions of the tour leader and crew, and no deviation from the agreed itinerary is permitted without prior approval from boat management. These provisions exist for one reason — the safety of guests, crew, and vessel always comes first.

Travel Documents & Guest Responsibilities

  • Registration details must be complete and accurate; open / share trip registration includes your passport number.
  • Komodo National Park fees are paid separately and follow the prevailing government regulations at the time of the trip.
  • Drone use in Komodo National Park requires a separate permit, requested at least 7 days before the trip.
  • Guests are strongly advised to arrive in Labuan Bajo at least one day before departure; KomodoLuxury is not responsible for flight cancellations or delays.

Force Majeure (All Products)

Force majeure refers to unforeseen circumstances beyond human control that prevent the trip from proceeding as planned — including natural disasters, adverse weather conditions, civil unrest, disease outbreaks, government regulations, and flight cancellations. In such cases the trip may be changed or canceled without a refund, and KomodoLuxury is not responsible for any losses or inconveniences caused by such events.

Complaints (All Products)

Concerns about service during the trip must be raised immediately with the on-duty crew, trip leader, Tour Leader, or Cruise Director on board so they can be resolved during the journey. Complaints lodged after the trip concludes will not be accepted.

Frequently Asked Questions

How much deposit do I need to book a Komodo Luxury trip?

A 50% deposit secures your booking for every trip type — private, open/share, or speedboat — with the balance due 30 days before departure (full payment if you book less than 30 days out). For bookings made one year in advance: 30% deposit, an additional 20% at 120 days before the trip, and the balance 30 days before departure. The deposit is non-refundable, and your official invoice states the exact amount and currency payable.

What is the cancellation policy for Komodo tours?

Cancellations made at any time — 30 days, less or more, before departure — forfeit 100% of the total payment, which is non-refundable. Payments cannot be refunded, rescheduled, or transferred to another trip if a participant cancels; however, you may nominate a replacement person to take your place. Any refund KomodoLuxury approves is documented through a formal Refund Letter.

What happens if the weather is bad or a force majeure event occurs?

Force majeure — natural disasters, adverse weather, civil unrest, disease outbreaks, government regulations, flight cancellations, or other uncontrollable events — may cause the trip to be changed or canceled without a refund. On board, itinerary adjustments for safety follow the direction of the tour leader and boat management. KomodoLuxury is not responsible for losses or inconveniences caused by such events.

Is the Komodo National Park entrance fee included in my trip price?

No. The Komodo National Park fee is excluded from all trip prices and follows the prevailing government regulations at the time of your trip. A drone ticket for the park is also separate — it is optional, estimated at IDR 2,100,000 (per the Private Trip document), and the permit must be requested at least 7 days before the trip.

Does my open trip or speedboat trip need a minimum number of guests?

Yes — open/share trips (and speedboat day trips, which follow the same terms) require a minimum of 10 participants. If the minimum is not met, KomodoLuxury Management offers an alternative vessel for the same scheduled date, so no scheduled trip is canceled. Private trips are whole-vessel charters and have no minimum-participant clause.

How do I sign the trip agreement?

Through WhatsApp, before your booking is processed. The reservation team shares the reservation form and the Terms & Conditions document; you sign the T&C (a digital signature is accepted) and return it with the completed form in the same conversation. The invoice and payment details are issued only after the signed T&C is received, and once your payment is verified, the invoice serves as your booking confirmation. Registering for a trip also constitutes agreement to its terms.

Contact & Signing

Our concierge team will walk you through the trip document, hold your cabin for 2×24 hours while you decide, and handle the T&C signing right in the chat.
