If your hotel sits in Labuan Bajo town, on the harbour strip or along the Waecicu beach road, our driver collects you there on departure morning and there is nothing else to arrange. Our reservations desk at Komodo Luxury (Labuan Bajo, since 2015) is asked the same three things most weeks: is my hotel inside the pickup zone, what time does the car come, and what do you need from me first. This post answers those three in that order, from the transfer logs our coordination team writes for every sailing.
Quick answer (25 September 2026): hotels in Labuan Bajo town, on the harbour strip and along the Waecicu beach road are inside our standard pickup round. Pickup runs 08:00 to 09:00 on Malca, Ayvara and Naturalia, 08:30 to 09:30 on Catnazse. Your exact time reaches you the afternoon before. Send your hotel name and a working WhatsApp number.
- Source: transfer coordination logs at our concierge desk, 179 manifests, 7 June to 24 September 2026, counted 24 September 2026.
Is my hotel inside the pickup zone?
Almost certainly, if it stands on the mainland. The Labuan Bajo hotel pickup is part of the price on our shared Komodo open trip cabins, and across 179 transfer manifests written between 7 June and 24 September 2026 our drivers collected guests from a hotel, villa or guesthouse 626 times out of 670 pickup entries, about 93%. Komodo Airport accounted for 31, about 5%; 10 guests met the team at the pier.
What decides the answer is the road, not the star rating. Anything a vehicle can reach in time for the morning window is on the round; anything reached by boat is not. A lane too narrow for a minibus changes the vehicle, not the answer.

| Where you sleep | On the standard pickup round? | What our desk does |
|---|---|---|
| Town centre and harbour strip: Jalan Soekarno Hatta, the streets behind it, the marina | Yes | Several hotels on one run, inside the morning window. |
| Waecicu beach road north of town | Yes | Same round, longer drive; your exact time is set on the manifest. |
| Near Komodo Airport (LBJ) | Yes | About 10 to 15 minutes from the pier. |
| Hillside guesthouses on narrow lanes | Yes, in a smaller vehicle | We send a car and may ask you to wait on the main road. |
| Menjaga Bay, Seraya and island stays | No | A dedicated transfer quoted by our ground team, or you meet us at the pier. |
The properties our coordination group names most often across those four months, in order of mentions, are Ayana Komodo, Katamaran, Sudamala, Meruorah, Seaesta and Bintang Flores. That is a count of message mentions in an internal log, not of pickups, and not a ranking. Hotels sorted by walking distance to the pier sit in our list of hotels closest to the harbour, the wider area guide is where to stay in Labuan Bajo, and one property in detail is covered in the Katamaran pickup note.
One warning from the same logs. Four times in four months the field team could not tell which property a guest meant: Labuan Bajo has three Flamingo properties and a cluster of names built on the words Bajo and Living. Send the exact name the property uses, plus a map pin.
What time is the pickup, and when do we find out?
The window is 08:00 to 09:00 on Malca, Ayvara and Naturalia and 08:30 to 09:30 on Catnazse, and your own time inside it reaches you the afternoon before. Speedboat and full-day trips start much earlier, 06:00 to 06:30. Partner vessels arrange their own pickup, so your written confirmation names who collects you.
Here is why the exact time arrives late rather than early. Our desk writes one transfer manifest per departure and sends it to the field team the day before: 168 of the 170 dated manifests in the log went out then, about 99%, most between 13:00 and 16:00 WITA. The manifest carries your name, hotel, guest count and luggage, and the driver contacts you that evening or on the morning itself. Until it exists there is no exact minute to give, so we quote the window and confirm your time in writing.
From our reservations desk. Of 11,254 guest messages to our concierge desk (2025 to 2026), 538 concerned where to sleep in Labuan Bajo: 4.78% of the total, and the tenth largest theme of 24. A wider recount taking hotel, pickup, airport transfer and the night before together returns 900 messages across 309 conversations, about one enquiry in fifteen. The questions behind them, in order: does my hotel fall inside your pickup range, what time is the pickup tomorrow, and who do I send the hotel name and number to.
Timing questions beyond the pickup itself, including the window boat by boat and the return-day clock against flight times, live in our pickup and return times reference.
What does your desk need from me, and by when?
Six items, all before the afternoon of the day before you sail. After full payment we send a trip preparation form; these fields decide whether the pickup runs quietly.
- The exact hotel name, plus a map pin. Write it as the property writes it; this is the one field that similar names break.
- A number that receives WhatsApp in Indonesia. In four months the field team asked us for a missing guest number 21 times, and 12 manifests ran late because a hotel or number had not arrived.
- Your flight numbers, both ways. The arrival tells us whether you need an airport pickup; the departure times the drop-off.
- The luggage count. Sixteen manifests carry a luggage column, because a group with many suitcases needs a larger vehicle than a couple with two bags.
- A passport bio-data page per guest. Used for harbour authority reporting and park registration, nothing else.
- Any change of hotel, the day it happens. Moving after the manifest has gone out is the commonest reason a driver waits in the wrong lobby.

A driver meeting you at arrivals on the day you land is a separate transfer, arranged through our ground transport team in Komodo. The included pickup is the one on departure morning. If your main bag should stay ashore, luggage storage in Labuan Bajo covers where it can sit.
What happens on departure morning, hour by hour?
| When (WITA) | What happens | Basis in the log |
|---|---|---|
| Afternoon before, 13:00 to 16:00 | Desk sends the transfer manifest; driver contact follows | 168 of 170 dated manifests, about 99% |
| 08:00 to 09:00 | Pickup window on Malca, Ayvara and Naturalia | September 2026 manifests |
| 08:30 to 09:30 | Pickup window on Catnazse | September 2026 manifests |
| 06:00 to 06:30 | Pickup for speedboat and full-day trips | 8 manifests |
| From about 09:30 | Boarding closes; an open trip departure does not wait | Sailing follows the Harbour Master; one late arrival logged |
| Last day, 11:00 to 12:00 | Docking, then drop-off to your hotel or the airport | Field messages record arrival 11:00 to 12:30 |
Two things travel with you to the pier: passports, and the park registration our desk has already made. The Komodo National Park ticket is excluded from the trip price, set under Government Regulation No. 36/2024 as displayed by the Balai Taman Nasional Komodo at IDR 250,000 per international visitor per day, IDR 50,000 per Indonesian visitor per day and IDR 75,000 on Sundays and public holidays. Our desk registers each guest, pays the park and lists the park line separately on your invoice. Since 22 September 2026 entry is only on the date printed on the e-ticket; quota is confirmed at registration and never promised, and tickets are non-refundable. The detail sits in the September 2026 quota update. The morning itself feeds the 3D2N Komodo sailing itinerary.
We land on departure morning. Does that still work?
We advise against it, and we say so before a cabin is booked. The logs do record morning airport pickups that worked: landings at 08:15, 08:55 and 09:10 collected straight from the terminal between June and September 2026, and midday landings at 12:25 and 12:45 where a private boat waited. What those share is a whole-boat booking, or a call the captain could make on the day. An open trip departure does not hold for a late flight. If a same-morning arrival is your only option, send the flight number first and our team weighs that date, that boat and the sea conditions before answering. The longer comparison is in same-day boarding on a Bali to Labuan Bajo charter.
Where do you drop us after the boat docks?
Wherever you tell us, on the same terms as the pickup. Across 667 drop-off entries in the same logs, 308 went to a hotel, about 46%, and 258 to Komodo Airport, about 39%; 84 were still open on the last morning. The pier to the airport takes 10 to 15 minutes, so for an open trip we ask you to hold the onward flight to 14:00 or later. On a whole-boat private charter the captain can often dock earlier, and boarding is agreed with you rather than fixed to the open trip window; the boats are listed on our Komodo yacht charter fleet page. Sleeping ashore afterwards is covered in where to stay after a Komodo liveaboard.

One last piece of sequencing. Cabins on a shared departure move in real time, so secure the cabin first and the room second; guests booking in 2026 wrote to the desk about two months ahead. Prefer one thread for the room too? Our desk arranges it through the accommodation service in Labuan Bajo.
Frequently asked questions
Is my Labuan Bajo hotel inside your pickup zone?
If it stands on the mainland around Labuan Bajo, almost certainly yes. The town, the harbour strip and the Waecicu beach road are all on the driver round. Island stays such as Seraya, and properties around Menjaga Bay, are not; those take a dedicated transfer quoted by our ground team, or you meet the team at the pier.
What time is the pickup on departure morning?
Between 08:00 and 09:00 on Malca, Ayvara and Naturalia, and between 08:30 and 09:30 on Catnazse. Speedboat and full-day trips start earlier, at 06:00 to 06:30. Pickups are staggered across several hotels on one run, so a short wait inside the window is normal rather than a sign of a delay.
When do we find out our exact pickup time?
The afternoon before departure. Our desk writes one transfer manifest per sailing and sends it to the field team the day before, usually between 13:00 and 16:00 WITA; 168 of 170 dated manifests in our June to September 2026 log followed that pattern. The driver then contacts you directly with the time.
What does your desk need from me before the trip?
The exact hotel name as the property writes it, a map pin, a number that receives WhatsApp in Indonesia, your flight numbers both ways, your luggage count and a passport bio-data page for each guest. Send any change of hotel the day it happens, because by then the manifest may already be written.
We are staying at a resort outside town. Will you still collect us?
Resorts on the Waecicu beach road are on the standard round, with the vehicle and your exact time set on the manifest because the drive is longer. Properties reached by boat are not on the round; for those our ground team quotes a dedicated transfer, or you meet the team at the pier instead.
We land in Labuan Bajo on the morning of departure. Can we still join?
We advise against it, because an open trip departure does not hold for a late flight. The logs do record airport pickups from landings at 08:15, 08:55 and 09:10 between June and September 2026, and midday landings where a private boat waited. Send the flight number before you book, and our team answers for that date.
Where do you drop us after the boat docks?
At your hotel or at Komodo Airport, whichever you tell us. In our drop-off log 46% went to a hotel and 39% to the airport, and the drive between them is 10 to 15 minutes. The boat docks between 11:00 and 12:00, so we ask open trip guests to hold onward flights to 14:00 or later.
